1. Booking in Advance and Payments
To ensure a safe and successful adventure with Mount Face Nepal Treks and Expedition., clients must book their trip at least two month in advance. This allows ample time for necessary preparations. However, we could take the last minutes booking according to availability of guide and required logistics.
A 20% deposit of the total trip cost is required upon booking to secure your reservation. This initial payment covers expenses such as hotel bookings, flights, guide and porter arrangements, and government permit fees. The final remaining 80% of the total charge should be paid before you start the trip.

2. Cancellation
We understand that circumstances can change, and it may become necessary to cancel a booked trip. To effectively manage operational costs associated with personnel and resources allocated to each trip, we have implemented the following cancellation policy. Please carefully review the terms outlined below:
Cancellation Fees:
2(a) Cancellation 35 Days Before Departure: If you decide to cancel your trip 35 days or more before the scheduled departure from your country, the following terms will apply:
- The company will charge a cancellation fee of 20% of the total trip amount.
- The remaining amount will be refunded to you after deducting the processing charge of Nepal Rastra Bank.( If you have already paid full amount)
- Alternatively, if you prefer, the refundable amount can be retained by the company as a charge for your future trip with Mount Face Nepal.
2(b) Cancellation 25 Days Before Departure: If you decide to cancel your trip between 25 days and 35 days before the scheduled departure from your country, the following terms will apply:
- The company will charge a cancellation fee ranging from 25% to 35% of the total trip amount.
- The remaining amount will be refunded to you as outlined in the terms of clause 2(a).
2(c) Cancellation 1 Week Before Departure: If you decide to cancel your trip between 14 Days and the last week before the scheduled departure from your country, the following terms will apply:
- The company will charge a cancellation fee ranging from 40% to 50% of the total trip amount.
- The remaining amount will be refunded to you as outlined in the terms of clause 2(a).
2(d): Cancellation 2 Days before Trek Starting Day: If you decide to cancel your trip before 2 Days of trek start day, the following terms will apply:
- The company will charge a cancellation fee ranging from 90 % of the total trip amount.
- The remaining amount will be refunded to you as outlined in the terms of clause 2(a).
2(d) No Refund Once the Trip Begins: Once your trip has commenced (Started), there will be no refund available for any unused services or portions of the trip. You will be responsible for paying the full amount of the trip in this consequence.
3. Required Documentation
Clients must submit a passport-sized photograph, a copy of their passport, and all necessary forms. For expeditions above 7000 meters, clients are also required to provide information regarding their high-altitude experience and previous mountaineering activities upon trip confirmation.
The company will not be held responsible for any issues arising from the client’s failure to submit the required documentation within the specified timeframe.
4. Insurance and Travel Risks
Clients are required to purchase comprehensive travel insurance prior to departure, providing coverage for medical expenses, evacuation, and search and rescue missions. Given the inherent risks associated with trekking and expedition activities, particularly in high-altitude environments, we strongly recommend comprehensive insurance coverage for helicopter evacuations, trip cancellations, and personal accidents.
The company will collect client insurance information to facilitate necessary actions in the event of emergencies. In the case of a rescue, the company will coordinate with relevant rescue services and manage related paperwork. However, the company assumes no liability or financial responsibility for any losses or expenses not covered by the client’s insurance policy. Clients are solely responsible for all costs not covered by their insurance provider.
It is important to note that air evacuation options may be limited or unavailable in certain regions. Clients should be prepared for this possibility. While the company will provide support within the constraints of local regulations, the ultimate responsibility for client safety and well-being rests with the individual.
5. Incomplete Trips
Clients will not be entitled to any compensation if they are unable to commence or complete the trek or expedition due to personal reasons, including but not limited to injury or illness. Additionally, in the event of a government-mandated permit revocation due to unforeseen circumstances such as natural disasters, the company will not be liable for any refunds or compensation.
6. Client Compliance and Authority
Clients must agree to adhere to all local laws, regulations, and customs during their trip. The company bears no responsibility for clients engaging in any illegal activities. In the event of a client's unlawful conduct, the company reserves the right to contact local authorities. Any legal consequences arising from a client's actions are solely the client’s responsibility. The company is under no obligation to provide legal assistance or financial compensation in such circumstances.
The team leader or guide holds ultimate authority during the trek/expedition. These individuals are highly experienced and their decisions prioritize the safety and well-being of all participants. Clients agree to follow their instructions without exception. In the event of disputes or conflicts among clients, the company’s staff will mediate. If necessary, local authorities may be involved to resolve the matter.
7. Early Completion of Scheduled Itinerary Modifications and Additional Costs
Mount Face Nepal Treks and Expedition Pvt. Ltd. offers carefully designed standard packages based on extensive industry experience. We understand, however, that individual preferences may vary. Upon request, we can modify itineraries to accommodate specific client needs, provided that additional time and costs are agreed upon at the time of booking.
Circumstances beyond our control, such as adverse weather conditions or unforeseen events, may necessitate changes to the itinerary or pricing. In such cases, adjustments will be made in mutual agreement with the client.
Client-induced factors such as damage to company equipment, itinerary delays, requests for additional services beyond the original agreement, etc., are likely to increase the previously decided price.
8. Early Completion of Schedule
Sometimes schedule may be completed a few days before the designated time, in such cases, no refund will be issued for the unused portion of the itinerary. For example, a 14-day trip concluded in 12 days will not result in a refund for the remaining 2 days. As outlined in clause 2(d) of these terms, no refunds will be provided once a trip commences.
9. Early Trip Termination
Clients who choose to prematurely end their trip due to personal emergencies or unforeseen circumstances will incur additional charges. These fees account for the logistical complexities involved in adjusting arrangements, including the return of porters and management of other operational requirements from the base camp. This process typically requires one to two days.
10. Non-Transferability of Services
All services provided by Mount Face Nepal Treks and Expedition are strictly non-transferable. Once a booking is confirmed under a specific individual’s name, it cannot be transferred or reassigned to another person. This includes, but is not limited to, accommodations, flights, permits, transport, guiding services, and other logistics. For example, if a member of the expedition or tour group chooses not to utilize a particular service (e.g., hotel stay, transportation, etc.), it cannot be claimed or used by another friend or member in their place. Similarly, services paid for by one client cannot be substituted or transferred to any third party.
11. Flight Cancelations (International/ Domestic)
In any flight cancellations, financial compensation will not be provided unless the cancellation is directly caused by the company’s actions. However, it is within the duty of the company to assist our clients by arranging hotel accommodations, subject to applicable charge.
12. Overnight Stay & Food
In the event of an overnight stay necessitated by client circumstances, flight cancellations (domestic or international), or any other issues, clients will be responsible for associated accommodation and meal expenses. However, if the overnight stay is caused due to the company’s reason, the company will cover the costs of accommodations.
13. Agreement of Services
Trekking and expedition destinations often present challenging conditions far removed from the modern conveniences of the 21st century. In some instances, clients may not get exactly what they are looking for, even if they are willing to pay for it. As a hosting company, we try to provide the highest level of service. Unexpected events may occasionally arise where we are unable to meet specific expectations. We appreciate clients' understanding and flexibility in adapting to such situations. Most importantly, clients must have a clear comprehension of the potential challenges and limitations associated with their chosen itinerary before booking.
14. Meals
We have carefully selected the best available hotels, tea-houses, lodges, and experienced cooks for basecamp and in higher camps. However, the taste may differ from your usual preferences. We prioritize providing the best possible food options, but clients are expected to follow the guide's recommendations when selecting menu items.
15. Stuff and Equipment
If Mount Face Nepal Treks and Expedition Pvt. Ltd. provide any materials, gear, or equipment, whether owned by the company or not, the client is obligated to return it to the company's designated representative upon completion of the trip, expedition, or trek. Any damage incurred to the equipment must be compensated for at a rate determined by the company.
16. Publicity
Mount Face Nepal may request clients’ permission to use photographs and videos captured by clients, free of charge. Any materials provided will be used exclusively for marketing and promotional activities. Client privacy is paramount and will be strictly protected. We appreciate the clients’ cooperation in this matter.
17. Children
According to the Nepal Government’s Mountaineering Rules, individuals under the age of sixteen (16) are prohibited from climbing any mountain peak. While mountaineering is restricted for minors, trekking activities can be undertaken under the supervision of their legal guardians. All individuals below the age of sixteen (16) must be accompanied by a legal guardian for any trips.
18. Extra Activities
Clients must inform Mount Face Nepal Treks and Expedition of any desired extra activities, such as skiing, drone flight, paragliding, or waving large flags, prior to the commencement of the trip. These activities may incur additional fees imposed by the Government of Nepal. Undertaking such activities without prior notification constitutes a violation of regulations and may result in legal consequences and additional costs, for which the client is solely responsible. If informed beforehand, Mount Face Nepal will assist in obtaining necessary permits and complying with relevant procedures. However, it is important to note that permits for certain activities may not be obtainable. In such cases, the company cannot guarantee permit.
19. Modifications/ Changes in Itinerary
Clients wishing to modify their itinerary must notify Mount Face Nepal Treks and Expedition via email at least two weeks prior to the departure date. Please refer to clauses (2) and (10) of these terms for our cancellation and modification policies, respectively. If changes necessitate the cancellation of non-refundable items such as government permits, travel tickets, or insurance, the client will be responsible for associated costs. Additionally, clients will be liable for any cancellation fees incurred for airfares purchased on their behalf.
